Refund & Conditions Policies
CODING EDUCATION TERMS AND CONDITIONS
By enrolling the student, the parent agrees to the following terms and conditions.
MEDICAL INSURANCE
All Coding Education programs include health insurance for the entire length of the trip; this applies from the moment they arrive in the program location city until departure to their countries of origin. Personalized policies will be delivered within five days before the start of the program. (The program must be paid in full)
PAYMENTS DEADLINES
The parent agrees that the program must be paid on the following dates and amounts:
● 50% of the total amount 90 calendar days before the program start date.
● Full amount of the program paid 60 calendar days before the program start date.
● Balances will be accounted for as reflected on Coding Education Experiences LLC and its controlled entities accounts; bear in mind your bank and intermediary bank fees.
Payment amounts must be covered on the stipulated dates to avoid a penalty of $200 USD per week due to requoting reservation fees. The parents release Coding Education for any responsibility on canceled park tickets, hotel reservations, workshops, and any complement of the program tied to these payment deadlines.
The student can´t be admitted to the program unless payments are fully covered.
CANCELLATION POLICIES
We have very flexible cancellation policies; please read them carefully.
1.- A refund can only apply up to 90 calendar days before the start of the program the student was enrolled in. Coding Education cannot take students’ cancellations after this point due to down payments to hotels, buses, parks, workshops, food, and already-made transfers.
2.- If the refund is requested within 30 calendar days after the enrollment, only $250 USD will be retained from the cancellation insurance.
3.- If the refund is requested 30 calendar days after the enrollment and 90 calendar days before the program, the enrollment fee of $800 USD will be retained, and the rest of the balance will be refunded.
4.- Coding Education is not responsible for the visa application process in case of visa denial or cancellation.
5.- Refunds will be sent within seven calendar days before the program’s departure date the student was enrolled in.
6.- Special medical cases will be evaluated and must come with the necessary documents.
RESTRICTIONS
1. There won´t be refunds of any amount after 90 days before the start of the program the student was enrolled in or for services not used by the student during the program.
2. The enrollment fee and other balances paid may not be transferred to other students.
3. Students who don´t respect the program rules and code of conduct may be suspended from the program without having a refund.
4. Interbank transfer costs/commissions are not included in payments or refunds; payments will be taken into balances as shown on Coding Education accounts.
5. All refunds will be processed through the same payment method utilized for the initial transaction. Please note that Coding Education cannot be held accountable if the buyer encounters difficulty accessing the original payment method.
FLIGHTS
○ Flight tickets are NOT included in the program cost.
○ The group must travel on the same flight.
○ Once flight tickets are purchased, send the details to Coding Education for operational purposes.
Coding Education Experiences LLC and its controlled entities are not responsible for delayed or missed flights, whether tickets are purchased through Coding Education or independently. In the event of delays or cancellations, longer wait times for hotel transfers or missed academic content may occur. No refunds or rescheduling will be provided for lost content, park visits, meals, transportation, or hotel nights due to these circumstances.
○ Parents are responsible for purchasing airfare on time, either through Coding Education or their preferred agency.
○ Delegations may choose their own fares if preferred. If the delegation does not accept the provided fares or fails to arrange flights within the given timeframe, Coding Education will not be liable for any financial losses.
Flight Coordination: Delegations are encouraged to coordinate with Coding Education before purchasing tickets to ensure alignment with the program schedule.
Airport Transfers: Airport transfers are included in the program price. Estimated wait time at the airport is 1 to 3 hours while other groups complete immigration processes and join the bus.
We recommend buying flight tickets once the enrollment payment is made for better rates.
PACKAGES
All regular packages in the United States based programs include students’ beds sharing two pax for queen and king beds and the use of bunk and sofabeds; if you would like to upgrade an individual bed package, please confirm availability with your Coded Representative as soon as possible. All individual bed packages have an extra cost. Rooms in all U.S.-based programs are shared accommodations, housing 2 to 5 students per room. Family suites, which are designed for 5 adults, will be used for rooms with 5 students, depending on the hotel type.
Coding Education can accept individual bed packages up to the program payment deadline; hotel reservations can’t be modified after this. Coding Education is not responsible for parents being unaware of their purchased package and unavailability to change their current package. Purchased individual beds can be queen, king, bunkbed, or sofabed; the cost guarantee is not sharing a bed but not choosing the bed type.
For Europe and Canada programs, individual beds are included in all packages.
Bed types in all our programs are; queen, king, bunkbed, or sofabed. Room cleaning services are determined by each hotel’s policies and are not defined by Coding Education. These services may be provided daily or every two days.
By enrolling the student, the parent agrees to the following terms and conditions.
INFORMATION DELIVERY FOR SCHOOLS AND PARENTS
Final logistics, itineraries, and academic program details will be shared with parents and the school within a window of 45 to 20 calendar days before the program begins. Our Coding Education Programs involve intricate logistics requiring thorough coordination among all parties. We sincerely appreciate your patience as we work diligently to ensure a top-notch tech program for your student.
The itineraries presented in the sales presentations are provided as examples. Please note that the final itinerary order may be subject to variation based on program logistics requirements. However, the content will remain consistent with what was shared in the post-parents meetings email.
Coded Behavioral Policy – CODE OF CONDUCT
At Coding Education, we believe in honesty, integrity, and safety for all – our staff and our students.
We work hard to make sure everyone has the best experience possible in our programs. By understanding what’s expected of each of us and working together, we can ensure a great experience for all.
All students in any Coding Education Program must attain the program policies. If a student breaks the rules or behaves recklessly, whether on or off campus, he or she will be held responsible for their actions. This could lead up to disciplinary action, including possible dismissal from the program and the loss of tuition and fees.
Please read and sign this document where stated to confirm acceptance of these terms.
Bullying
Each student is expected to treat every other student with respect. Our leadership takes all incidents of bullying seriously, and we train our staff to encourage open communication with students. This way, both staff and students can feel comfortable reporting any issues they encounter during their time with us. We can only address problems if we are aware of them, so we ask every student to promptly inform us of any concerns.
● Consequence of Bullying: Immediate dismissal.
Program Attire
Students should wear clothing that is both comfortable and appropriate for the activities at hand while also demonstrating good taste and consideration for others. In case of a dress code violation, the program director may request a change of clothing.
● Consequence of Inappropriate Program Attire: Verbal warning and requirement to change clothes.
Disruption
Any student conduct, either individually or in a group, that is intentionally disruptive to or designed to be disruptive to the normal operation of the program may result in being sent home early.
● Consequence of Disruption: Verbal warning. Dismissal on second warning.
Dangerous Objects / Weapons
Items intended to harm or considered potentially dangerous will be confiscated, and bringing them to the program may result in early dismissal. All knives and dangerous items must be kept off program property. Any confiscated item is returned to the teacher or guardian on check-out day.
● Consequence of Weapons: Instructor discretion. Depending on circumstances, e.g., students may have forgotten the item is in their bag. From verbal warning to immediate dismissal.
Resident / On Campus Students
Resident/on campus students are expected to follow the rules of the dorms at all times. At no time are students permitted to be in the room of another student of the opposite sex. Dorms are locked at curfew, which is 10pm each night. Except in the case of an emergency, no student is permitted to leave their dorms after curfew without express permission from a staff member, in this instance they would be escorted by a team member. Quiet hours will apply between the hours of 10pm and 7am.
● Consequence of breaking curfew: Immediate Dismissal.
● Lost room keys, or ID cards, as well as any damage to dorm rooms will be charged to the participant.
Deceitful Activity
Any student involved in lying or attempting to deceive staff will be subject to disciplinary action.
● Consequence of Deceit: Instructor discretion. From verbal warning to immediate dismissal.
Alcohol, Drugs, and Controlled Substances
Absolutely no alcohol, drugs, or controlled substances are allowed on the property. If any of these substances are found, they will be confiscated, and the Program Director will contact the student’s parent/guardian to notify them of the student’s dismissal from the
program. Any expenses related to arranging the student’s return home will be the responsibility of the parents.
● Consequence of Alcohol, Drugs, and Controlled Substances: Immediate dismissal.
Consumption of Energetic Substances
Consumption of energetic drinks is not permitted on the property; Coding Education is not liable for any consequences that may arise from their consumption. Students are responsible for their own health and well-being regarding the intake of these beverages and are expected to not purchase or consume while on property.
● Consequence of Consumption of Energetic Substances: Verbal and written warning.
Falsely Reported Emergency Calls and Fire Alarms
Any student setting off a fire alarm, fire extinguisher, tampering with a smoke detector or using the phone to falsely report an emergency to 911 will be subject to disciplinary action.
● Consequence of False reporting: Instructor discretion. Verbal warning to immediate dismissal.
Digital Citizenship Guidelines
Coding Education acknowledges the positive role of social media and as a means of self-expression and respects students’ right to use it. However, as students who represent our program, it’s essential to follow these guidelines:
1. Respect in communications.
2. No obscenities or vulgar language nor AI content filtering.
3. No harassment, bullying, or intimidation
4. No image manipulation using digital tools, including AI.
5. Avoid disparaging the program.
6. Compliance with Coding Education policies.
● Consequence of Violation: Immediate Dismissal.
Obscenity
Obscene, profane or vulgar language; written, oral, or expressed by symbols is not tolerated. Being respectful to students, teachers or staff, is important and expected.
● Consequence: Instructor discretion. Verbal warning to immediate dismissal.
Vandalism
Students involved in vandalism or malicious mischief either against property or against another student or staff are disciplined immediately. Vandalism includes any kind of graffiti on walls, beds, bathroom stalls, etc. The parent/guardian is contacted immediately. Payment to repair any damage accrued as a result of the vandalism is the responsibility of the student’s parent/guardian.
● Consequence: Instructor discretion. Verbal warning to immediate dismissal.
In-Room Behavior Each student is responsible for their own behavior within the shared rooms. Any inappropriate behavior or actions that do not adhere to the norms of Coding Education (Coded), or the institution, are the sole responsibility of the individual students. It is expected that their behavior reflects the values instilled at home and at school, which align with the signing of this document. Neither Coding Education (Coded) nor any external provider assumes responsibility for any incidents or disputes that may arise from sharing rooms.
STUDENTS CONDUCT POLICY
By enrolling their child in any program organized by Coding Education Experiences LLC and its controlled entities (“the Company”), parents or legal guardians expressly acknowledge and accept the following terms and conditions:
1. The Company shall not be held liable for any incident, harm, loss, or damage resulting from a student’s failure to comply with the established code of conduct, behavioral expectations, or any recommendation issued by teachers, program staff, or academic advisors.
2. In the event that a student’s misconduct or non-compliance necessitates early termination of participation or repatriation to their home country, all associated costs—including but not limited to transportation, supervision, accommodations, and administrative processing—shall be borne solely by the parent or legal guardian.
3. Parents or legal guardians shall also assume full financial liability for any damage, injury, or third-party claim arising directly or indirectly from their child’s actions, including violations of local laws, damage to property, or conduct resulting in bodily harm.
4. Students are required to fully comply with all program rules, schedules, and behavioral standards from the moment of arrival at the departure airport until the conclusion of the program and their return home.
5. Should a student’s actions result in involvement with local authorities or legal proceedings, Coding Education Experiences LLC and its controlled entities shall bear no responsibility, financial or otherwise, for legal representation, fines, or related matters. In such cases, the Company will notify the parent or guardian, who will then assume full responsibility for the student’s welfare and liabilities.
6. By accepting these terms, parents and legal guardians also agree to adhere to all emergency response protocols, student welfare policies, and codes of conduct established by Coding Education Experiences LLC and its controlled entities. This includes but is not limited to behavioral intervention procedures, supervision guidelines, and the Company’s internal escalation framework designed to ensure the safety and well-being of all participants.
AI Usage Clause
Artificial Intelligence (AI) Use – Release of Liability, Assumption of Responsibility, and Indemnification
By completing enrollment and clicking “I Accept,” the Parent/Guardian (“You”) on behalf of the enrolled Student (“Student”) expressly acknowledges and agrees as follows:
1. Scope. For purposes of this clause, “AI” refers to artificial intelligence tools, models, or services (proprietary or third-party) introduced or referenced during Coding Education Experiences LLC and its controlled entities (“Coding
Education”) programs. “Subsequent Use” means any use of AI by the Student outside Coding Education’ direct supervision, including after the Program has ended.
2. Code of Ethics. You and the Student acknowledge and accept Coding Education’ Code of Ethics and Responsible AI Use Guidelines, which govern all activities within the Program. You agree that the Student must comply with these standards at all times.
3. Acknowledgment of AI Risks. You understand and accept that AI may generate inaccurate, incomplete, or biased content; that AI tools are subject to the terms of third-party providers; and that it is the Student’s responsibility to use any AI outputs responsibly, lawfully, and in compliance with applicable academic, ethical, and legal standards.
4. Release of Liability. To the fullest extent permitted by applicable law, You, on behalf of Yourself and the Student, hereby release and discharge Coding Education Experiences LLC and its controlled entities, its officers, employees, affiliates, and agents from any and all liability, claims, damages, or causes of action arising from the Student’s acts or omissions in connection with the use of AI, both during the Program and thereafter, including but not limited to use of AI outputs for personal, academic, or social purposes. This release does not extend to liability resulting from Coding Education’ gross negligence, willful misconduct, or obligations that cannot be waived under applicable law.
5. Indemnification. You agree to defend, indemnify, and hold harmless Coding Education, its affiliates, officers, employees, and agents from and against any and all claims, demands, damages, costs, or expenses (including reasonable attorneys’ fees) arising out of the Student’s use of AI tools or outputs, except to the extent caused by Coding Education’ gross negligence or willful misconduct.
6. Third-Party Tools. Coding Education is not responsible for the availability, performance, data practices, or outputs of third-party AI platforms. The Student’s use of such tools is at their sole risk and responsibility.
7. Governing Law. This clause is governed by the laws of the State of Florida, USA, without regard to conflict-of-law rules. Any dispute arising hereunder shall be submitted to the exclusive jurisdiction of the state or federal courts located in Orange County, Florida, except where non-waivable rights mandate otherwise.
LOST PERSONAL BELONGINGS
Coding Education is not responsible under the circumstances for stolen or lost personal belongings of students or teachers. Students and teachers must be aware of their personal belongings at all times.
MEDIA RELEASE FORM
The enrolled student will participate in the exciting activities offered by Coding Education Experiences LLC and its controlled entities. We might capture some great moments in photographs or videos during these activities. With that in mind, I hear by grant Coding Education Experiences LLC and its controlled entities, its partners, and affiliated companies the right to use these visuals. This usage covers all forms of media across the vast expanse of the universe (print, theaters, tv, online platforms, social media, and any cool tech that may pop up in the future). Coding Education Experiences LLC and its controlled entities will use these visuals, either on their own or alongside other materials, with the only purpose of marketing and promoting our educational programs, your child’s experience at our camp is going to be a blast, and we can’t wait to share the fun with the world!
Seller of Travel Disclosure CODED EDUCATION EXPERIENCES LLC is registered with the State of Florida as a Seller of Travel. Registration No. ST46325. Registration as a Seller of Travel does not constitute approval by the State of Florida of the value or quality of the services offered.
Custody and Use of Program Funds Participant payments are used to secure travel arrangements, accommodations, transportation, educational services, operational logistics, staffing, and third-party vendor commitments necessary to execute the program. Payments are not held in escrow and may be transferred to suppliers in advance of travel. By enrolling, the Parent/Guardian acknowledges that deposits and program payments are allocated to operational expenses and are non-refundable once committed. Refunds, if any, are governed strictly by the cancellation policy outlined in this agreement.
Medical Authorization and Emergency Consent By enrolling the student, the Parent/Guardian authorizes emergency medical treatment to be provided to the participant at licensed hospitals or professional medical clinics in the destination country, as determined necessary by attending physicians or qualified healthcare providers. CODED EDUCATION EXPERIENCES LLC will make reasonable efforts to notify the Parent/Guardian prior to treatment so that the Parent/Guardian may be informed and provide authorization; however, if immediate medical action is required to protect the health or safety of the participant, treatment shall not be delayed due to inability to reach the Parent/Guardian.
Medical decisions shall be made exclusively by licensed medical personnel based on professional judgment and applicable medical standards. CODED EDUCATION EXPERIENCES LLC and its staff do not provide medical diagnosis or treatment and are not medical professionals. Their role is limited to facilitating access to professional care.
The Parent/Guardian expressly releases and waives any claim, liability, or legal action against CODED EDUCATION EXPERIENCES LLC, its staff, representatives, partners, supporting personnel, and attending medical providers acting in their professional capacity arising from medical decisions, treatment, or outcomes rendered by licensed healthcare professionals.
Medical expenses covered under the travel insurance included in the program shall be applied toward necessary treatment. The Parent/Guardian acknowledges that if medical costs exceed the limits of the provided insurance coverage, the Parent/Guardian assumes full financial responsibility for any remaining expenses not covered by insurance. CODED EDUCATION EXPERIENCES LLC will continue to act in good faith to support communication between medical providers and the Parent/Guardian throughout any medical incident.
Custodial Responsibility, School Supervision, and Group Leader Authority By enrolling the student, the Parent/Guardian expressly acknowledges and agrees that primary custodial responsibility for the student during the program is delegated to the participating school and its designated group leader. The Parent/Guardian accepts that the school-appointed group leader is the direct supervising authority responsible for the student’s conduct, punctuality, safety coordination, discipline, and adherence to schedules
throughout the duration of the trip. The Parent/Guardian further agrees that the group leader represents the school and acts as the principal authority responsible for day-to-day student oversight.
The participating school, by choosing to travel with CODED EDUCATION EXPERIENCES LLC, expressly acknowledges and accepts responsibility for the supervision and custodial management of its student delegation. The school commits to appointing a qualified group leader with prior experience supervising minors in academic, extracurricular, or travel environments. The school represents and warrants that the appointed group leader possesses the maturity, judgment, leadership ability, and supervisory competence necessary to maintain order, discipline, safety, and appropriate student conduct.
The school further agrees not to assign an individual lacking prior experience managing student groups or the capacity to effectively supervise minors. The school is solely responsible for conducting appropriate background checks, vetting, and internal screening of the appointed group leader and accepts full responsibility for the suitability and trustworthiness of the individual selected.
CODED EDUCATION EXPERIENCES LLC operates solely as a program organizer and logistics provider. The Parent/Guardian and the participating school both acknowledge that CODED EDUCATION EXPERIENCES LLC does not assume primary custodial supervision of individual students. The school-appointed group leader remains the principal authority responsible for student supervision. CODED EDUCATION EXPERIENCES LLC coordinates program activities and safety protocols at an operational level but does not replace, supersede, or assume the custodial role of the school or its designated leader.
The Parent/Guardian and the participating school accept that responsibility for the suitability, qualifications, effectiveness, and background screening of the group leader rests solely with the school. CODED EDUCATION EXPERIENCES LLC shall not be liable for deficiencies in supervision arising from the school’s selection, vetting, or management of its appointed leader.
Indemnification and Liability Waiver By enrolling the student, the Parent/Guardian agrees to indemnify, defend, and hold harmless CODED EDUCATION EXPERIENCES LLC, its owners, directors, employees, staff, representatives, contractors, affiliates, partners, and third-party providers from any claims, demands, lawsuits, damages, liabilities, costs, or expenses arising from participation in the program, except in cases of proven gross negligence or willful misconduct under applicable law.
The Parent/Guardian agrees to release and waive any claim arising from ordinary operational risks inherent to international educational travel and agrees not to pursue legal action for matters arising from routine program execution, logistical adjustments, good faith operational decisions, medical incidents handled by licensed professionals, or disputes based on subjective dissatisfaction with program expectations. Participation in international travel inherently involves unpredictable circumstances that do not constitute negligence.
The Parent/Guardian expressly waives, releases, and agrees not to bring any personal claim, lawsuit, or legal action against any employee, staff member, contractor, representative, partner, or supporting personnel acting within the scope of their professional duties in connection with the program.
Force Majeure and Third-Party Limitation of Liability By enrolling the student, the Parent/Guardian expressly acknowledges and agrees to the terms of this clause. CODED EDUCATION EXPERIENCES LLC, its affiliates, partners, contractors, suppliers, and third-party service providers shall not be liable for failure to perform, delay, cancellation, or interruption of any program or services due to events beyond their reasonable control, including but not limited to acts of God, natural disasters, hurricanes, floods, fires, strikes, labor disputes, governmental actions, travel restrictions, war, terrorism, rebellion, civil unrest, epidemics, pandemics, quarantine restrictions, theft, transportation disruptions, or any other circumstances beyond their control.
The Parent/Guardian acknowledges that CODED EDUCATION EXPERIENCES LLC acts as a coordinator of travel and educational services that may be delivered by independent third parties, including but not limited to airlines, hotels, transportation
companies, academic institutions, activity providers, and local operators. These third parties operate independently and are not agents or employees of CODED EDUCATION EXPERIENCES LLC. CODED EDUCATION EXPERIENCES LLC shall not be responsible or liable for the acts, omissions, negligence, delays, or failures of any third-party provider.
In the event of a force majeure occurrence, the program may be canceled, suspended, modified, or rescheduled without liability to CODED EDUCATION EXPERIENCES LLC or its partners. The Parent/Guardian expressly agrees that all payments made are non-refundable, including in cases where the program is reprogrammed to a future date.
If a reprogramming option is offered, participation in the rescheduled program is voluntary and subject to availability and updated program terms. Declining a reprogrammed date does not create any right to refund, credit, or reimbursement of any kind.
